Job Description

The purpose of this role is to support the Finance and Business operations of the business. The Procurement/ Inventory Clerk duties are responsible for the administration and management of the company’s inventory, equipment and vehicles, messenger services, and general office administration

Key Responsibilities and Duties Include but are not limited to

Issue Stock, Equipment, and PPE to employees as needed

Monitor and maintain current inventory and equipment levels

Creating and updating monthly inventory and equipment reports accurately, recording the in and out of the items, and labeling inventory items that will be used

Generate purchase orders for inventory and managing deliveries, tagging, and processing inventory

Initiate to completion on-site of overseas orders, and cost goods from foreign suppliers

Maintain fleet management logs/databases for service, inspections, insurance, and licensing;

  • Arrange and facilitate service and regulatory inspections for the vehicle fleet,
  • Maintain fleet management log/database which highlights service and other maintenance costs of the life of the vehicles as well as reports of the quarterly inspections
  • Arrange servicing of the company’s fleet in preparation for regulatory inspection
  • Preparation and collection of documentation to facilitate the inspection and licensing processes
  • Taking of vehicles for inspection

Update job knowledge by actively participating in continuous training sessions

To be proficient in the use of the company’s inventory management program to:

  • Receive and issue stock
  • Prepare purchase orders for inventory
  • Prepare and perform stock and cycle counts
  • Cost goods received from foreign suppliers
  • Generate and analyse audit reports

Messenger services including the delivery and collection of any correspondence as required including but not limited to cheques, statutory and other payments such: Daily collection of mail from the Post Office Box and Daily bank deposit

Receptionist duties which include but are not limited to answering the phones and fielding and re-directing customer queries

Recording and opening incoming correspondence and dispatching outgoing correspondence

Upkeep of office documents both written and electronic e.g. the Mail log, Purchase order file, Enquiry book, Diary, CCM module in iCABS and Messenger Log book

Assisting with the monitoring and ordering of office stationery and supplies

Assisting with administrative tasks relating to the analysis and collation of information

Proficient in the use of MS Office

Proficient in the use of ICABS

To dispatch all company correspondence in accordance with deadlines given

Prepare and all purchase orders on a daily as required basis and ensure they are signed as per the procurement policy

Enter all complaints and queries into the relevant systems.

To present a professional image and attitude at all times as evidenced by the tone and manner when contact is made with the client

Requirements

REQUIREMENTS amp; PERSONAL CHARACTERISTICS

To be considered for the Procurement / Inventory Clerk position you will ideally have the following:

  • Proven experience in working as an Inventory and Procurement resource would be an asset.
  • Customer service oriented and negotiation skills
  • 5 CXCs including Maths amp; English
  • Diploma in inventory control CIPS level would be an asset
  • Experience working with a credit management system
